Workspace Planner Tool

Too often our desk and office setups are designed according to a “one-size-fits-all” concept. However, as you know, nothing could be further from what is needed to facilitate your best productivity, comfort and office safety.

We are all individuals with individual needs. To help you uncover your workstation preferences, you can use the Workspace Planner Tool below.

The values displayed in your personal worksheet will help you establish your optimal Neutral Position, which is the foundation of a comfortable computing workstation.

Workspace Assessment Tool

While our detailed Ergonomics Checklists provide for an in depth analysis of your current workstation needs, this quick questionnaire is designed to help you immediately identify areas of improvement in your workspace. Making some simple adjustments can help you avoid muscle fatigue and injuries, in addition to making your workflow more efficient, comfortable and safe.

Is the top of your computer monitor positioned at eye level? Or, if you use bifocal lenses, is your screen placed lower and tilted upward?

YES -  Excellent. Work to keep your neck held upright when viewing the computer screen. Placing a screen at the appropriate height and angle allows for correct and comfortable posture.
NO -  This is a potential problem. You should consider adjusting the height and angle of your computer screen to avoid straining your neck upward or downward while working.

Is your computer screen positioned at least 20 inches (50 CM) from your eyes? Or, if you use bifocal lenses is the screen positioned roughly 16 inches (40 CM) away?

YES -  Great. Your computer screen should optimally be placed 20-30 inches or 50-75 cm from your eyes. If you use bifocals the optimal distance is roughly 16 inches or 40 cm
NO – This is a potential problem. You can avoid or eliminate eye strain by changing the viewing distance of your computer screen. A good rule of thumb is to position your screen an arm’s length away—roughly 20-30 inches or 50-75 cm. If you use bifocals the distance should be 16 inches or 40 cm.

Do your wrists rest flat as you type?

YES – Good. This is proper neutral positioning.
NO – This is a potential problem. If you hold your wrists in a bent position you can experience fatigue and possible repetitive stress injury in your hands, wrists, forearms or elbows. Work to hold your wrists flat, creating a straight line from the elbows to the knuckles.

Are your shoulders relaxed when computing? Are your upper arms generally kept parallel with your torso?

YES – Perfect. Regardless of your posture position, you should orient your keyboard so that your shoulders remain relaxed while typing and your chest is kept open and wide.
NO – This is a potential problem. If your shoulders are strenuously extended, muscle stress and fatigue can build up throughout your body.

When seated at your workstation, do your feet rest flat on the floor with your hips held at a 90-120oangle?

YES – Great. This means that your chair is positioned at the appropriate height and angle, which reduces strain placed on the lumbar region of the back.
NO – This is potential problem. If your feet do not rest comfortably on the floor and your hips are angled outside of 90-110o, strain is placed on your lower back. This usually indicates that your workstation chair is inadequate.

Can you adjust the height and angle of your computer monitor, keyboard and chair?

YES – Excellent.
NO – You should periodically adjust your monitor, keyboard or chair to allow for slight movements in posture and position. Staying in the same position for an extended time can lead to muscle strain and stress.

Summarizations that reflect negative answers to the questions above:

Your responses to the above questions indicate that your workspace is at risk of imposing physical stress and ergonomic problems on your body.  The numbered solutions below correspond to the questions and explanations above.

  1. Move your computer screen into a position where the top of the monitor is level with your eyes and the screen is tilted back 10-20o. If you use bifocals you should lower your computer screen to chin level and tilt it back 30-40o.
  2. Your computer screen should be distanced 20-30” or 50-75 cm from your eyes. If you use bifocals position your monitor roughly 16” or 40 cm away.
  3. Position your keyboard at elbow height; tilt it back approximately 10o. Use a rest to gently support your wrists.
  4. Position your keyboard at elbow height allowing you to maintain a wide open angle between your chest and arms.
  5. Alter your chair height so your feet can rest comfortably on the floor while maintaining a 90-120o angle at your hips.
  6. You should make an effort to regularly and periodically adjust the position of your monitor, keyboard and chair. You can install mounts that offer adjustment flexibility.

*We encourage you to use our Workspace Planner tool to learn how to place your workstation elements at the appropriate height and position.

Multiple Monitor ROI Calculator

Research findings are nearly unanimous – most office users can see s a significant benefit in comfort, productivity and workflow advantage when using larger computer display monitors and multiple monitors simultaneously.

As an employee, you can likely already imagine that the benefits include greater ease in working in multiple computer windows with multiple documents, ease of eye strain and greater ability to compare or edit information between documents. However, the decision to incorporate multiple monitors into a workstation, and to ensure the furniture used to support such monitors is adequate, may be a decision that must be justified to cost boards and management.

Using VersaTables Multiple Monitor ROI calculator, you can effectively estimate the return on investment your corporation will see after implementing these beneficial work tools. And the returns are large.

In fact, a recent research paper from Microsoft estimates that organizations can see a minimal 9% improvement on productivity related to general computer tasks when going from a small, single monitor display to a larger, multiple monitor display. Other studies performed by ATI Technologies estimate that average productivity gains may be as much as 20-30% when working with multiple monitors.

Even using a much more conservative productivity estimate, you can see just how multiple monitor workstations can benefit you:
